What it's for
So nobody is left waiting: every new order alerts you with a sound in the panel and, if you like, with a notification on the bar's phone. You also get the day's key information by email, and you can message your guests on WhatsApp.
| Alert | Where you get it | When |
|---|---|---|
| Sound | The open panel (Orders or Kitchen) | With every new order or call from a table |
| Instant notification | The phone, tablet or computer where you turn them on (and the app) | Orders, calls, bill requests, payments, bookings… even when the panel is closed |
| Your «Alert email» | Bookings, private feedback and the daily summary; if you like, every order too | |
| WhatsApp to the guest | You send it from your phone | When a pickup order is in progress or ready |
Sound
- In Orders, tap the speaker to turn it on. On the kitchen screen, the Turn on sound pill.
- It sounds with every new order and repeats every 15 seconds until someone taps it. Unanswered calls sound again after 3 minutes.
- It only sounds while the panel is open. Browsers block it until you tap the screen once: if you see «Sound off · Tap here to turn it on», tap it.
Instant notifications on your phone, tablet or computer
With notifications on, every order, call and payment reaches you straight away, even when the panel is closed. You turn them on on each device: the manager's phone, the bar tablet, the till computer…
Turning them on for a device
- Open your panel on that phone, tablet or computer.
- In Orders you'll see the black «Turn on notifications on this device» strip. Tap Activate (or go to Settings › Notifications and press «Turn on alerts on this device»).
- Accept when the browser asks for permission. You'll see «Notifications are on for this device».
- Press Send a test notification: it should arrive within a few seconds.
If now isn't a good time, tap Not now and the strip comes back in a few days.
The «Notifications» tab
In Settings › Notifications (owner and manager; the waiter and kitchen get there from the strip in Orders):
- This device: turn on, send a test or Turn off alerts.
- What this device gets: New orders (with the table and total) · Calls for the waiter · Bill or invoice requests with tax ID · Payments received · New and cancelled bookings · Printer or kitchen offline · Low AI Credits and the AI Waiter cap (owner only) · Private reviews, translations and other alerts. Each person only sees the ones their role allows.
- Devices with notifications: every browser and phone with the app that receives notifications, labelled «This one», «App» and when they were last active. You can send a test or Remove one. If one isn't receiving them, you'll see it flagged: «Notifications aren't reaching it: turn them on again on that device.»
Tapping an order notification opens the panel on that order, highlighted.
In Menu › Dishes › Venue settings › More options:
- Alert email (bookings, private feedback and daily summary): the email address they go to. If you leave it empty, we use the email you signed up with.
- Also get an email for every order: off by default, because orders already reach you in the panel, in the kitchen and as a phone notification. Turn it on if you want them by email too.
Every morning, if there was activity the day before, you get the daily summary (we explain it in Your business and the daily report).
Letting your guest know
- On their phone, without doing anything: the guest sees their order status in real time. When it's ready, their tab changes to «(1) Ready!» and the phone vibrates.
- Notification on their phone: after ordering, the menu asks «Shall we let you know when it's ready?» with Yes, notify me and No, thanks; after booking, «Shall we let you know when it's confirmed and before your booking?». «Only for this: a notification on this phone, no personal data. It expires on its own.» On iPhone the menu needs to be added to the home screen; otherwise, they follow their order on the page itself.
- On WhatsApp: if the order has a phone number (pickup and delivery orders), tap the WhatsApp icon on the card (Notify). WhatsApp opens with «Hi [name], your order is ready ✅» and you send it.
What doesn't exist (so you don't go looking for it)
- There are no alerts to the venue by WhatsApp or SMS: use phone notifications and the sound.
- Your guests can't order through WhatsApp: they order from the menu.
- There are no automatic WhatsApp messages to the guest: you send the Notify message yourself.
Common problems
| You see this | What's happening | What to do |
|---|---|---|
| «Notifications are blocked in this browser» | You said no to the permission. | Tap the padlock (or «ⓘ») next to the address → Notifications → Allow, and go back to the page. |
| «This browser doesn't support notifications…» | A browser without notifications, or an iPhone without the panel on the home screen or with iOS older than 16.4. | Use Chrome, Edge, Firefox or Safari, follow the iPhone steps or use The Food Please app. |
| A device isn't receiving them | The permission was removed or something changed on that device. | In the list of devices, Send a test notification; if it doesn't arrive, turn them on again on that device. |
| Nothing sounds | The panel isn't open or the sound has been blocked. | Keep Orders or Kitchen open and tap the screen once. |
| You don't get the per-order email | It's off (that's normal) or the alert email isn't the right one. | Check More options in Venue settings. |
